But lost emails aren’t just annoying. They can spend your money. What if the missing email is a customer order? Or what if it’s a customer with an important question? If you don’t respond to customers in a timely manner, they may take you elsewhere.
If your emails disappear from Outlook, you need to know why. Most importantly, you need to learn how to recover lost emails.

It is not uncommon for emails to get lost in any email system. Emails are often lost when emails are accidentally deleted. It can also happen if the email system mistakenly marks incoming mail as spam, which means the mail didn’t reach your mailbox. Less commonly, if an email is archived without your knowledge, it can be lost. Or if you accidentally put it in the wrong email folder.
To find Outlook lost emails, let’s examine the following questions: Where does Outlook store emails? In MS Outlook, here is the main folder where you should search for lost emails.
The Deleted Items folder and the Junk Email folder may be automatically deleted after a period of time. If this happens, you may not be able to retrieve your email. If you use Outlook at school or school, ask your administrator what their email retention policy is.

If you’re looking for lost email in Outlook, you can navigate to the folder where you suspect the item is located. Alternatively, you can use the Microsoft Outlook search utility. Here’s how to find lost messages in many common situations:
Here’s how to retrieve deleted emails in Outlook. No matter which folder the lost email is in, first search for that folder in the navigation pane. Click on the folder to open it and view the messages. In this example, I opened the Trash folder:
If you don’t see the missing message in the folder, use the scroll bar on the right to move up and down through the messages until you find it. You can also use the search bar at the top of the message.
This method of finding lost e-mails works well if you don’t have many e-mails in the folder. If you have a lot of mail, you may want to use Microsoft Outlook Search.

Because the spam folder in the example only contained two messages, it was easy for me to find the message I was looking for. If your junk mail folder is full, you can use the scroll bar or the search bar to find lost emails.
Note: Messages are considered spam when they are in the folder. You can’t click links or download attachments in the email until you move the email to another folder.

If you’ve lost a piece of mail and don’t know where it might be, but know something about it, you can use Microsoft’s Email Finder tool to find it. Above the message on the right, you’ll find the Outlook search tool:
To use the search tool, type a word or phrase from the missing email in the search box. The default is to search all messages in the mailbox you are currently using. Use the boxes on the left to further refine the search in the current mailbox:
You can choose All messages, Unread messages only, or Recommended messages only. You can also choose how your search results are organized and displayed on your screen (as a chat or as a group).

If you want to search multiple mailboxes in addition to the current one, use the box to the right of the search tool to specify which mailboxes to search:
If you don’t know where your lost Outlook emails are, the last option “All Outlook Items” is the best option for finding lost emails. However, not all Outlook items can be found in the Deleted Items folder, the Junk E-mail folder, or the Archive folder. You must search within the folders to find emails in those folders.
It’s much easier to get your lost email back if you know (or can guess) which folder it’s in. You can copy lost emails back to desired location. Alternatively, you can drag it into the desired folder.
Once you find the message you want, click on it to select it. Then click the move icon in the ribbon. The pop-up menu lists the different folders to which you can move the selected message:

Click the name of the folder you want to move the mail to. Missing emails will be deleted from the current folder and moved to the selected folder.
You can retrieve Outlook folders using drag and drop. To drag and drop an email message, click the message to select it. In the example below, I’ve selected an email from the Trash folder:
Hold down the mouse button and drag the selected emails to the desired folder in Outlook. In this example, I’m moving messages from the “Deleted Items” folder to the “From My New Boss” folder:
If your Outlook email is configured to use POP or IMAP, your messages are saved as Personal Folders files (.PST files). You can import these files back into your Outlook email system.

Start by clicking the “File” tab in the upper left corner of your email inbox. The Account Information screen appears. On the left, click the Open and Export menu:
Click the Open Outlook Data File option. The Open Outlook Data File screen is displayed. Navigate to the folder where your Outlook files are stored:
Click on an archive file to select it. Then click OK. A new folder containing archived messages will appear in your navigation panel.
