EOP operates in a global network of data centers designed to provide excellent availability. For example, if a data center is unavailable, emails are automatically forwarded to another data center without service interruption. Before diving deeper, Microsoft 365 was formerly known as Office 365. People call both terms M365 and O365 for short. I have also used it interchangeably. If you think this is confusing, wait until you see the license model…

So… after graduating from Microsoft Licensing (just kidding, but you wish there was such a course, right?), I delved into Microsoft Office 365 email security features that each license provides.

While security should be standard, Microsoft unfortunately locks many settings behind expensive licenses, leaving small businesses vulnerable.

I’ll go through each of the Office 365 email settings and explain which is the most secure option. I will also note the Microsoft license required for this setup and note any issues that may arise when using it.

So if you are an existing user/administrator, go back to your settings and check if this control is there. If you don’t, implement them! You will greatly improve your Office 365 email security and reduce the risk of your business being compromised by a hacker in the process.

A company’s email system without spam filtering is highly vulnerable, if not unusable. Not only can it be a nuisance in your inbox, but with spammers becoming more sophisticated and creative in their tactics, dealing with this ever-present threat is extremely important.

Most email services have default settings to filter spam and junk emails and return these emails to the sender. Microsoft again. In theory, when administrators find that certain accounts are sending too much spam, they should block the account to prevent the IP address from being blocked. (A locked account is a good sign that the account in question has been hacked and is being used by an attacker to send spam). Controlling outgoing spam is therefore very important to prevent an IP address from being blacklisted.

Scanning email attachments can help block known malicious files and prevent malware-infected files from infecting the recipient. This strategy allows organizations to block known and common malicious files that are commonly used to send malware.

To work with what you have, go to Security > Threat Management > Policy > Anti-Malware. Edit the default profile and under the Protection settings tab, set “Turn on standard attachment filter” to Always on.

This will notify administrators if an internal user has sent a message containing malware that may indicate a compromised account or machine that needs to be investigated.

To stop sending e-mail to external sites, go to the control center. Select Exchange > Mail flow and rules > make sure no rules are being sent to an external location. For each rule (transfer to an external domain), select it and click delete.
