This article explains how to use Canon’s IJ Scan utility and the built-in scanning features of Windows and macOS to quickly scan any document using a Canon all-in-one printer.

To scan documents using a Canon printer, first connect the USB cable that came with the printer to the USB port of the printer and computer. Then turn on the printer if it has a dedicated power button. Then open the scanner lid to access the glass plate on which to place the document. Place the document face down and align the edge of the paper with the line along the edge of the scanner glass. Close the scanner lid. If your printer and computer are properly configured, you can automatically upload a scanned image by pressing the “Scan” button on the printer. Or if you have Windows, type “Windows Fax and Scan” into the Start menu and click Apps. This will open Fax and Scan Tools. Click the “New Scan” button and wait for your document to appear. On Mac, click Apple in the upper-left corner of the screen to open a drop-down menu. Select “System Preferences” and click “Printers & Scanners”. Most scanners can be controlled using special software from the manufacturer or universal applications that come with Windows. Windows 11 often struggles with older scanners, especially when they’re part of an all-in-one printer. If Windows Scan or Windows Fax and Scan cannot detect your scanner, try downloading and installing the driver manually from the manufacturer.

There are several important options available when configuring your scan settings. Choosing the right settings can save you time and storage space.

The most important option is the dots per inch (DPI) setting. DPI determines the resolution of the image produced when you scan something. For example, if the area of the scanner is 8.5 x 11 inches and the document is scanned at 200 DPI, the resulting image will have a resolution of 1700 x 2200. A resolution of 5100×6600 when the same document is scanned at 600 DPI. The higher the DPI, the larger the image. The higher the DPI setting, the slower the scanning speed.

If you’re scanning old film negatives, slides, high-quality prints, or artwork, you’ll want to move as high as possible to extract all the usable details. A higher DPI allows images to be scaled up to larger sizes without noticeable graininess. Generally, more is better, but there comes a point where increasing the DPI doesn’t really give anything away.

Here is an example of a realistic drawing of a pig on 8.5 x 11 inch paper. For context, the picture of a pig is only about an inch long.

The first image is a scan of a pig at 200 DPI. The outline and features of the pig are clearly visible.

The image below is the exact same pig, but scanned at 1200 DPI. You can see the outlines and shapes, but you can also clearly see the details of how a ballpoint pen deposits ink on paper.

There is little point in increasing the DPI if you are scanning text documents. It’s just showing the details of how the ink gets onto the paper and creates an unnecessarily large image.

The top text is a 1200dpi scan of an 11pt font and the bottom is a 200dpi scan of the same font. The width has been scaled to about 650 pixels. Both are easy to read.

Normal sized text is just as readable at 200 DPI as it is at 1200 at a small fraction of the file size. A 200 DPI scan is 57.5 KB in size and a 1200 DPI scan is 1.6 MB in size. This isn’t a problem if you keep a lot of documents because storage space is cheaper than ever, but it can be a problem if you upload your documents to the web.

When scanning, there are three basic color formatting options to choose from: color, grayscale, and black and white. Here’s what these terms actually mean:

All other things being equal, black and white scans have the smallest file size and color scans have the largest file size. Grayscale scans fall somewhere in between.

Black & White works well for scanning text documents only. It can also help if you are scanning faint text with poor contrast. All documents containing images should be scanned in grayscale or color as required. Grayscale images take up less space, so if you don’t care about color, use grayscale instead.

When in doubt, scan in color. You can always convert a scanned image to grayscale or black and white later, but adding color to a grayscale image is much more difficult and requires an artistic eye to get it right.

There are dozens of image formats, but Windows Scan and Windows Fax and Scan offer only a handful. Which one you use depends on your needs, but here are a few things to keep in mind:

PNG and JPEG are universally supported out of the box. It is very rare to encounter applications or websites that do not accept either format. PNGs are losslessly compressed, so they should retain a higher quality than lossy JPEGs. JPEGs are usually slightly smaller than PNGs.

TIFF is a very versatile image format. TIFF can use lossless or lossy compression and can support tagging for easy organization. TIFFs are often stored uncompressed, so files are usually larger than PNGs or JPEGs, but the quality is just as good.

A PDF is a document file that can contain images, text, and more. PDF like JPEG and PNG are universally supported. Any browser can open PDFs, and there are many more professional programs that can open and edit PDFs. Adobe Acrobat is the most complete choice available, especially if you pay for a subscription. Acrobat also has a built-in Optical Character Recognition (OCR) feature that can convert images of scanned documents into editable text files.

Note: You can perform OCR on any image file you want, not just PDFs. There are several free applications that can do this. Microsoft’s OneNote has this feature built in.

How To Print, Copy, & Scan

If you’re not sure which format to use, choose TIFF or PNG. If you need or want a different format, you can easily convert it to one of the other formats.

Windows Scan is Microsoft’s newest scanning software. You can download it directly from the Microsoft Store. Click “Install”, wait for it to complete, then click “Open”.
